How to Assign User Roles and Permissions in Trakr
Not everyone on your team needs the same level of access to Trakr. You may want some users to simply view information, while others need to create products, update information, or manage locations.
Trakr lets you control what each user can access and what they can do within the system.
Assigning a User Role
To assign a role to a user:
- Go to Administration.
- Select Users.
- Find the user you want to update.
- Select Roles.
From here, you can choose a pre-made role or create a custom role with your own permissions.
Use a Pre-Made Role
If one of the existing roles matches what you need, simply select it and assign it to the user.
Pre-made roles make it easier to quickly give users the appropriate level of access without setting up each permission individually.
Create a Custom Role
If you need more control over what a user can access, you can create your own role.
Select + Add Role and give the role a name. You can then choose the access and permissions you want that role to have.
Choose Web, Mobile, or Both
When creating or assigning a role, you can choose where the user has access:
- Web – Access to Trakr through the web application.
- Mobile – Access to Trakr through the mobile app.
- Both – Access to both the web and mobile applications.
This allows you to give users access to the tools they actually need for their job.
For example, someone who only performs counts on the floor may only need Mobile access, while an administrator may need access to both.
Set Permissions
After choosing the user’s access, you can control what they are allowed to do using four permission levels:
Read gives the user read-only access.
They can view information in the system but cannot make changes.
Create allows the user to add new information to Trakr.
Depending on the area of the system, this can include things like:
- Creating products
- Creating locations
- Adding other information to the system
Update allows the user to change existing information in the system.
For example, a user with Update permission may be able to edit product or location information.
Delete allows the user to remove information from the system.
For example, if you give a user Delete permission for products or locations, they will be able to delete those items.
Use Delete permissions carefully. Not every user needs the ability to remove information from your system.
Build Roles Around Your Team
The goal of user roles is to give each person enough access to do their job without giving them access to things they don’t need.
You can create as many custom roles as needed to match the way your organization uses Trakr.
Keep Permissions Simple
When setting up roles, start with the minimum access a user needs to do their job. You can always adjust their role later as their responsibilities change.
With Trakr’s role and permission settings, you can control who can access your system, where they can access it, and what they can do once they’re there.
